Building an Audit-Ready Accounting Platform for a Travel Company

Custom Accounting & Financial Operations Platform

GJ Travel Ltd needed accounting to work as part of its travel operations—not as a disconnected bookkeeping system. Upheld Solutions built a custom financial operations platform connecting bookings, group travel, supplier costs, invoicing, payments, adjustments and profitability through controlled accounting workflows.

Case study overview

Travel accounting combines operational detail with strict financial controls. A single transaction can involve a customer or agent, multiple passengers, suppliers, ticket costs, service charges, commissions, discounts, VAT, receipts and later adjustments.

Upheld Solutions designed and developed an accounting layer directly inside GJ Travel Ltd’s existing travel-management platform. Operational transactions become traceable financial records while approval, posting and reversal controls protect the integrity of accounting history.

The result is one connected workflow from the original travel transaction through settlement, correction and financial reporting.

The challenge

Accounting Had to Understand the Travel Operation

Generic bookkeeping workflows could not represent these relationships without additional reconciliation and duplicate operational data.

The business needed to:

  • Connect financial entries to bookings, customers, agents, suppliers and travel groups.
  • Support group travel and individual travel-service transactions.
  • Maintain balances after partial settlements.
  • Support credit notes, debit notes, refunds and reversals.
  • Preserve approved commercial and tax data.
  • Prevent unauthorized or duplicate financial actions.
  • Generate reliable management and financial reports from one accounting source of truth.

Controlled financial lifecycle

A transaction history that stays traceable

Approval and posting controls protect accounting history while reversals preserve the original record.

  1. 01

    Draft

Editable while the transaction is prepared.

  2. 02

    Approved

Business rules are validated and the commercial/tax snapshot is frozen.

  3. 03

    Posted

    Balanced journal entries are generated.

  4. 04

    Reversed

Corrections preserve the original financial history rather than rewriting it.

Core capabilities

Accounting connected to the travel transaction

Booking & Group Accounting

Accounting ownership follows the actual customer or agent represented by the booking even when an administrator performs the operation.

  • Group purchases
  • Group sales
  • Expenses
  • Supplier settlements
  • Unsold inventory
  • Group profitability

Travel-Service Invoicing

Air tickets and other travel services use configurable accounting treatment across the commercial values that determine the final financial result.

  • Fare
  • Cost
  • Discount
  • Service charge
  • Commission
  • VAT
  • Profitability

Controlled spreadsheet imports

  • • Reusable mappings
  • • Validation
  • • Duplicate detection
  • • Reference resolution
  • • Preview
  • • Audit trail

Imported records enter the same controlled draft workflow.

Receipts, Payments & Allocations

Settlement workflows maintain the relationship between cash movement and the documents being settled.

  • Customer receipts
  • Supplier payments
  • Partial allocations
  • Allocation across multiple documents
  • Customer advances
  • Supplier advances
  • Outstanding balances

Cash collection is not incorrectly treated as revenue, and supplier settlement is not incorrectly treated as an expense.

Corrections & Refunds

Corrections remain linked to their source documents so finance teams can understand what changed and why.

  • Credit notes
  • Debit notes
  • Partial credits
  • Cumulative quantity controls
  • Fare differences
  • Customer refund payable
  • Dedicated refund settlement
  • Linked source documents

General Ledger & Reporting

Reports are permission-aware, filterable, printable and exportable, while reversed entries remain visible and net correctly.

  • Trial Balance
  • Profit & Loss
  • Balance Sheet
  • Cash Book
  • Bank Book
  • General Ledger
  • Party Ledger
  • Group Ledger
  • Sales Register
  • Receipt Register
  • Payment Register
  • Journal Register
  • Expense Register
  • Receivables

Featured workflow

What Happens When a Paid Booking Is Partially Cancelled?

  1. 01

    Select Original Invoice

The operator starts from the posted source document.

  2. 02

    Select Affected Line and Quantity

The system identifies the portion being corrected.

  3. 03

    Recalculate From Original Commercial Data

Fare, discount, charges and VAT are calculated proportionally from the original line.

  4. 04

    Approve

    The correction snapshot becomes immutable.

  5. 05

    Post Credit Note

A balanced accounting journal is created.

  6. 06

    Recognize Refund Liability

Because the invoice was already settled, the applicable amount becomes Customer Refund Payable.

  7. 07

    Settle Refund

A dedicated refund document settles the liability through cash or bank.

  8. 08

    Preserve Complete History

The original sale, credit, liability and refund remain separately traceable.

This prevents three common errors

  • Crediting more than the remaining refundable amount.
  • Applying inconsistent VAT treatment.
  • Reducing revenue twice when cash is returned.

Security & accounting controls

Controls built into the financial lifecycle

Immutable Posted Records

Posted journals and journal lines cannot be silently rewritten.

Balanced Posting

Entries must balance before posting.

Duplicate Protection

Idempotent posting prevents duplicate journal creation.

Controlled Voucher Sequences

Annual and document-specific numbering is controlled.

Reversal Audit Trail

Reason and date are retained.

Immutable Snapshots

Approved commercial and tax data is preserved.

Private Documents

Imports, attachments and sensitive tax artifacts remain in private storage.

Permission-Based Actions

Separate controls govern view, create, approve, post, reverse, print, export and configure actions.

Guarded integration

E-Invoicing Integration Foundation

The accounting platform includes a guarded foundation for downstream Saudi e-invoicing workflows, including document classification, UBL XML generation, private artifact storage, security orchestration and separate clearance/reporting paths.

Engineering depth

Engineering Behind the Platform

The architecture separates responsibilities so financial rules, posting and reporting remain independently testable and maintainable.

  • Separated controllers
  • Validation
  • Calculation services
  • Eligibility rules
  • Posting services
  • Journal creation
  • Reporting queries
  • Tax-document processing
  • Fixed-precision monetary calculations
  • Database transactions
  • Record locking for critical balances

Outcome

One Financial Workflow Across Travel Operations

The project created a connected financial workflow across GJ Travel Ltd’s booking and accounting operations. Source documents, approvals, postings, settlements, corrections and reports remain linked to the underlying travel transaction.

  • Reduced duplicate entry between operations and finance.
  • Clearer accountability through role-based approvals.
  • Faster transaction investigation through document-to-journal traceability.
  • Safer corrections through linked notes and reversals.
  • More reliable customer and supplier outstanding balances.
  • Consistent VAT-aware calculations across supported invoice types.
  • Clearer visibility into group and travel-service profitability.

Build around the operation

Need Accounting Software Built Around Your Operations?

When standard accounting workflows don’t match how your business actually operates, the accounting layer can be designed around the operational transaction instead.
